What personal data we collect
The categories of personal data we collect depend on the service you use. Typically, this includes your name, date of birth, nationality, residential address, contact details, National Insurance number, tax identifier, bank account details, employment and assignment information, and right-to-work documentation.
Lawful bases for processing
We process personal data on the following lawful bases under the UK GDPR:
- Contract — to provide our umbrella employment, outsourcing, accounting, tax, training, virtual office and business-management services;
- Legal obligation — to operate PAYE and National Insurance, account for VAT, meet HMRC reporting requirements, comply with the Modern Slavery Act 2015, the Criminal Finances Act 2017 and right-to-work legislation;
- Legitimate interests — to run our business, prevent fraud, secure our systems, and (where you have not opted out) keep you informed about services that may be relevant to you;
- Consent — where we ask for it, for example for certain marketing communications or non-essential cookies.
Who we share data with
We do not sell or trade personal information. We share personal data only where necessary to deliver our services or to meet a legal obligation — for example with HMRC, your recruitment agency or end-client, pension providers, our auditors, and service providers that host or maintain our systems. Any third-party processor we use is bound by a written data-processing agreement.
How long we keep it
We keep personal data for as long as needed to provide our services and to meet our legal, tax and accounting obligations — for payroll and tax records this is generally six years after the end of the tax year to which they relate. After that, data is securely deleted or anonymised.
International transfers
Where personal data is transferred outside the United Kingdom, we rely on UK adequacy regulations or on an appropriate safeguard such as the International Data Transfer Agreement (IDTA) or the UK Addendum to the EU Standard Contractual Clauses.
Your rights
Under UK GDPR you have the right to access the personal data we hold about you, to correct or erase it, to restrict or object to its processing, and to data portability. You can exercise these rights free of charge by emailing the DPO. We will respond within one calendar month, as required by law.
If you are unhappy with how we have handled your data, you have the right to complain to the Information Commissioner's Office at ico.org.uk.
